Structure

Creating a well-thought-out and clear structure before every event is essential in your job as an event planner. Because if you think about when you have to do something right from the start and, above all, how, you will save yourself a lot of stress.
This includes points such as budget planning, creating mood boards for event design & regular consultation with service providers, fixed dates for meetings with services & customers, timing & schedule, internal and external personnel planning, etc.

Organize in advance

At an event where things get more stressful towards the end, you should take care of all the errands you can do in advance as early as possible like event promotion. True to the motto “What you can do today, don’t put it off until tomorrow.”

Support

Getting support for every project is important. Depending on the size of the event, maybe a little more. Because there will come days when other projects take priority or private circumstances, such as getting sick, arise so that you have to take a break for a while. However, preparations for the event must continue. It is therefore essential to seek a helping hand before the project begins. Breaks

Always rely on yourself

Since you work with many different service providers at events, it is even more important to maintain an overall overview. Of course, you can’t and shouldn’t take care of everything yourself. But you should be aware of everything. Because if in the end someone doesn’t perform as promised to the customer, you are still the one who has to deal with the situation. Trust is good, a healthy level of control is better. Keeping things together and maintaining an overview is part of the event planner’s job and saves you a lot of stress at the end of the day.

Plan B, better yet C

If something doesn’t go as planned, you should always have a plan B, or better yet a plan C, ready in your pocket. And this is not only created when A fails, but rather during the preliminary organization.

It is quite typical that as an event planner you work for months towards one event. You put a lot of hard work, time and love into the organization. The day of the event is usually when the stress peaks, as everything has to run smoothly. Keeping a cool head and having confidence that you have thought through and planned all the points described above down to the last detail is important so that you can stop for a moment and observe and enjoy the day you have created. The customer will also appreciate this very much and would rather have an event planner at their side who has everything under control and doesn’t jump from A to B because things weren’t organized in the best possible way in advance.
